Henlee Resourcing is working in partnership with this well-known people centric Organisation with a base in West Swindon to recruit an enthusiastic HR Administrator / Assistant for an initial 12 month contract. There is a strong possibility that this role will convert to a permanent opportunity.
There is a requirement for 1 day per week in the office, you can do more days if you choose / the rest of the week is remote / at home. Ideally the role is full time, however there is flexibility for 4 days, compressed working week or even 5 shorter days – flexibility is there for the right person.
The purpose of the role is to provide HR administrative support across the full range of early career employees as well as hands on day-to-day administrative support to the HR team. You will support daily HR activities and assist in coordinating policies, processes and relevant documents.
About the role:
- Administer the complete lifecycle for all early career’s employees, including recruitment, offer letters, contracts, references, absence management as well as change to contract terms
- Support the Early Careers Business Partner with administration and facilitation of the apprenticeship programme including project planning, annual team building event planning and cost centre invoicing
- Support the delivery of training in line with the learning and development strategy, managing the catering arrangements, purchase orders and other logistics that contribute to the success of L&D activities
- Assist in organising meetings, conferences, courses, events and activities
- Keep all design / tracking documents up to date with starters, movers and leavers
- Identify opportunities to improve processes including suggestions for automating, simplifying and standardising
- Act as a point of communication between the Early Careers / HR team as well as internal / external stakeholders
- Appropriately resolve verbal and written enquiries, seeking advice from senior staff when required
About you:
- Experience of working in a busy administration role (ideally but not essentially within HR)
- Experience administering various processes and procedures
- Enjoys a busy environment and able to multi-task in an organised manner displaying excellent time management skills
- Meticulous attention to detail
- Flexible approach to work tasks whilst understanding how to prioritise, including managing a busy shared inbox
- Preferably, willing to undertake CIPD Level 3 qualification (this could be funded)
- Excellent oral and written skills which facilitate effective communication at all levels, including ability to take minutes where needed
- Discreet and professional with the ability to understand the sensitivity of information you will be exposed to and an aptitude for maintaining information silos as needed
- Ability to use own initiative and take ownership of work but recognises when to escalate issues
- Excellent team working skills with the ability to work collaboratively and cooperatively with colleagues
- Approachable, confident, comfortable being challenged and able to stand your ground when required
